Your Gmail data in Mailo

Mailo reads Gmail with read-only access to find business documents. You can disconnect at any time, revoke access in your Google Account, and ask us to delete the data Mailo imported from Google. This page explains each step, what is deleted and when, and what is kept.

Updated:

What Mailo can access

Mailo asks Google for read-only Gmail access. It reads message content and attachments to find business documents such as invoices and receipts, and imports those documents into your workspace. It cannot send, delete or change your email, and it does not change labels.

To read imported documents, Mailo sends them to AI service providers, as described in the Privacy Policy. Your Gmail data is not used to train generalized AI models.

Disconnect Gmail in Mailo

When you disconnect, Mailo deletes the authorization it stored for your mailbox, stops watching the mailbox, cancels queued imports and asks Google to revoke Mailo's access. Nothing new is imported after that.

Disconnecting does not delete documents that were already imported. They stay in your workspace until you ask us to delete them, as described below.

  1. Sign in to Mailo as the workspace owner or an administrator.
  2. Open Settings, then Gmail.
  3. Choose Disconnect and confirm.

Revoke access in your Google Account

You can also remove Mailo's access directly at Google: open your Google Account at myaccount.google.com/connections, choose Mailo and remove its access. From then on Mailo can no longer read your mailbox.

Revoking at Google does not remove the now-unusable authorization Mailo stored, or anything already imported. To remove the stored authorization too, also disconnect Gmail in Mailo.

Ask us to delete the data imported from Google

  1. Disconnect Gmail in Mailo first, so that nothing is imported again.
  2. Download any imported document you still need for your books. Deleting it in Mailo deletes Mailo's copy only; the original email and its attachments stay in your Gmail, which Mailo never changes.
  3. The workspace owner emails ronen1774@gmail.com from the email address they use to sign in to Mailo, with the subject "Delete my Google data" and the name of the business.
  4. We confirm the request with you, carry it out within 7 days of that confirmation, and email you when each stage is done.

What is deleted, and when

When we carry out the request

The record Mailo kept of each imported message (sender, subject, date, and message and attachment identifiers), the import history, the mailbox sync position, any queued imports, and what Mailo learned from the imported documents' senders. Every document imported from Gmail is removed from your workspace: it no longer appears in your documents, your review queue, search or the cards of your suppliers, customers and employees.

30 days later

The imported documents are permanently deleted: the files, the details Mailo read from them, their entries in your accounting views, their links to cards, their review-queue entries and any share links. Until then you can ask us to cancel, and the documents return to your workspace. What was deleted when we carried out the request does not come back. After the 30 days, the deletion cannot be undone.

Backups

Encrypted server backups exist only to recover from a system failure. They are kept for up to 12 months and then overwritten, so deleted data can remain in them until then. If we ever restore a backup, we apply completed deletion requests again before the service uses the restored data.

What is kept, and why

  • Documents you uploaded or scanned yourself, and documents you issued in Mailo. They are your business records and did not come from Google.
  • The cards of your suppliers, customers and employees (name, business number and the details you entered). After the deletion they no longer list the imported documents.
  • Security and audit records of who did what and when, including the record of this deletion, and the review decisions your team recorded (the decision, the note and who made it). They do not contain the documents or the emails themselves.
  • Counters of how often a person confirmed that Mailo read a supplier's total correctly. They contain no amounts and no email content.
  • If a document you uploaded yourself is recorded as a copy of an imported one, we tell you and agree the next step with you before deleting that imported document.
